The terms and conditions for the booking are created to form a legal agreement between you (the client) and Summit Excursions for providing our standard quality services. Please make sure to read and understand them fully before reserving any tour with our company.

Covid-19 Impacted Trips Special Extension

Clients who had postponed their tours because of COVID-19 can freely use their tour credits or deposits until the year’s end of 2025. This extension is only for those clients whose booking is unfortunately affected by the alteration of the COVID-19 policy. If you are also one of them, please kindly email us to take care of your credits and plan new trip arrangements.

Booking Information for Nepal Trips

You can calmly book any trip in Nepal via our official website or third-party sites. We list all available trip costs in USD. If you choose to pay in your local currency, we can assist you using the exchange rate provided by the Central Bank of Nepal on the very day of your reservation to convert your local currency to USD.

  • To confirm your booking date, you need to either complete the full online reservation process or appeal a handbook booking form so that we can send you through email. Furthermore, you have to pay a deposit of 30% of the total tour amount.
  • PLEASE BE AWARE THAT THE 30% DEPOSIT IS NON-RECOVERABLE INCASE YOU CANCEL YOUR TRIP.
  • After arriving in Nepal, you must pay the remaining payment for your pre-meeting tour. To make your payment experience easier and more accessible, we also accept bank transfers and credit cards.

Booking Information for Tibet and Bhutan Trips

  • To confirm your booking date, you need to either complete the full online reservation process or appeal a handbook booking form so that we can send you through email. Furthermore, you have to pay a deposit of 50% of the total tour amount.
  • PLEASE NOTE THAT IN THE EVENT THAT YOU MUST CANCEL YOUR TRIP, THE 50% DEPOSIT IS NON-REFUNDABLE.
  • You need to pay the remaining balance in USD using bank transfer or credit cards at least 20 days before your tour ends.

Last Minute Booking

  • For your trips in Nepal, we allow last-minute bookings up to 10 days before departure, depending on availability. But you must pay the full cost at the time of your booking to get the last-minute booking service, which is also NON-REFUNDABLE.
  • Similarly, for your trips in Tibet and Bhutan, we allow last-minute bookings up to 20 days before departure, depending on availability. But you must pay the full cost at the time of your booking to get the last-minute booking service, which is also NON-REFUNDABLE.

Payments Options for All Trips

Summit Excursions accepts the list of following payment options, which are given below:

Cash: You can pay cash payments in AUD, CAD, EUR, SWISS, USD, and other currencies as well. All the bills should be fresh, new, and in 50s USD and 1000s USD denominations. Please make sure you pay bills after the 2009-8 series, as we don’t accept bills older than the 2009 series.

Credit Card: You can pay us your trip cost through American Express, Mastercard, and VISA cards. However, there is a 4% processing fee charge for all credit card transactions made with our terminal machine.

Direct Payment or Wire Transfer: Customers who choose direct payments or wire transfers will receive our bank account information via email upon request. Remember that customers will be accountable for any bank transaction fees linked with the transfer.

WeTravel: WeTravel is a very reliable platform for online transactions, which is also used by our company, “Summit Excursions.” You can decide to pay in various currencies like AUD, CAD, EUR, GBP, and USD. Similarly, the card processing fee relies on the card type that you are using.

The maximum of 3% fee is charged in Mastercard and Visa, whereas the maximum fee of 4% is charged in American Express. Other payment options like ACH, BACS, iDEAL, and SEPA are also accepted by We Travel, providing more options for our customers.

Cancellation and Refund Guidelines for Nepal Trips

  • If you want to cancel your trip, you have to email us with a justifiable written notice at least 20 days before the departure schedule. We can only undertake cancellations of your trip through genuine notice and agreement.
  • Your 30% of the total tour paid balance will be taken away if you call off your tour 20 days or more before the departure date, and the rest amount will be given back to you. However, if you have only given payment of a 30% deposit of the total cost, then this deposit is completely NON-REFUNDABLE.
  • Also, a ‘NO REFUND POLICY’ is followed by this company, under which you are supposed to pay the total charged amount if the trip is canceled within a period of less than 20 days.

There are no refunds in the case of the No Refund policy. However, we can provide assistance to support your documents, like a receipt for the payment made, in case you require to file a claim with your insurance company due to the cancellation.

There are no refunds in the case of the No Refund policy. Nevertheless, we can offer assistance to support your documents, like a receipt for the payment made, in case you require to file a claim with your insurance company due to the cancellation.

Changing Your Nepal Trip Dates

  • If you want to change your scheduled date trips in Nepal, you need to email us a written notice explaining the motives for the change at least 20 days prior. Apart from this, if you are rescheduling to an earlier date, please clearly mention in the written notice at least 20 days before the new departure travel schedule.
  • PLEASE BE AWARE THAT YOU HAVE TO PAY ADDITIONAL COST OF 200 USD PER INDIVIDUAL FOR POSTPONING, MOVING YOUR TRAVEL PLAN TO AN EARLIE DATE, RESCHEDULING, OR SHIFTING YOUR TRIP TO SOMEONE ELSE. IT IS GOING TO BE YOUR RESPONSIBILITY TO FIND YOUR REPLACEMENT IF YOU DECIDE TO TRANSFER YOUR TOUR.

Changing Your Tibet and Bhutan Trip Dates

  • If you want to change your scheduled date trips for Tibet and Bhutan, you need to email us a written notice explaining the motives for the change at least 30 days prior.   • PLEASE BE MINDFUL OF THAT YOU HAVE TO PAY ADDITIONAL COST OF 500 USD PER INDIVIDUAL FOR POSTPONING, MOVING YOUR TRAVEL PLAN TO AN EARLIE DATE, RESCHEDULING, OR SHIFTING YOUR TRIP TO SOMEONE ELSE. IT IS GOING TO BE YOUR RESPONSIBILITY TO FIND YOUR REPLACEMENT IF YOU DECIDE TO TRANSFER YOUR TOUR.

INCOMPLETE TRIP

FOR SOME REASONS, IF CLIENTS DO NOT COMPLETE THE TRIP, SUMMIT EXCURSIONS WILL OT BE RESPONIBLE FOR PROVIDING REFUNDS OF ANY MEALS, LODGING, OR SERVICES THAT WERE NOT UTILIZED. DESPITE FROM THIS, IF YOU INVOLVE ANY CRIMINAL ACTIVITY DURING THE TRIP AND ARE REQUIRED TO LEAVE THE PLACE OR NATION IMMEDIATELY, WE WILL NOT ISSUE ANY REFUNDS IN THIS CASE.

Passport and Visa Information for Nepal

  • You must have a valid and legit passport to enter Nepal that is valid for at least 6 months beyond your scheduled return date.
  • To get a Nepalese visa, you can go to the Nepalese Embassy or Consulate in your home country, or you can get it right away once you land up at the airport (for example, Tribhuvan International Airport) in Kathmandu City.   • To simplify the process, we have provided you with the link to the Department of Immigration’s online form so that you can fill up your information in the form to apply for the Nepalese Tourist Visa online. Please note that the form is only valid for up to 15 days.

Keep in mind that you have 15 days prior to your arrival in Nepal to complete the form. A receipt will be sent to your email once you have completed the form. After you finish the form, you will get a receipt via your email. Make sure you print this receipt and bring it with you, as you will have to show it to immigration authorities after reaching Nepal.

Passport and Visa Information for Tibet and Bhutan

  • You must have a valid and legit passport to travel to Tibet and Bhutan that is valid for at least 6 months beyond your scheduled return date.
  • One of the greatest benefits for you when you book your travel plans with our company, “Summit Excursions,” is that you do not have to be concerned about acquiring visas by yourself. We will take care of all the mandatory visas and permits of different destinations as per the itinerary, which is already included in your trip package cost.

At the moment of booking, you will need to provide all necessary documents, including a photo, a coherent scan of your passport, a photocopy of your travel insurance, and others.

IN SPITE OF THAT, SUMMIT EXCURSIONS IS NOT LIABLE FOR CHANGES TO PLANS DUE TO UNEXPECTED EVENTS THAT ARE OUT OF OUR CONTROL. THESE CIRCUMSTANCES MAY COMPRISE, BUT ARE NOT BOUNDED TO, LAST-MINUTE MODIFICATIONS OF GOVERNMENT REGULATIONS, INTERNAL POLITICAL ISSUES, GOVERNMENT LIMITATION, ROAD BLOCKS, BAD WEATHER, FLIGHT CANCELLATIONS OR DELAYS, CLENT’S HEALTH, AND NATURAL CATASTROPHES LIKE FLOODS, EARTHQUAKS, LANDSLIDE, AVALANCHES, SNOWSTORM, AND OTHERS.

ANY EXTRA COSTS RESULTING FROM THESE UNFORESEEN CIRCUMSTANCES WILL BE THE SOLE LIABILITY OF THE CLIENTS. THERFORE, WE FIRMLY REQUEST YOU TO PURCHASE TRAVEL INSURANCE WHILE YOU ARE PLANING YOUR TRIP TO NEPAL OR TIBET AND BHUTAN.

RISK AND RESPONSIBILITIES

JOINING OUR TRIPS COMES WITH A CERTAIN INTRINSIC RISKS, COMPREHENDING BUT NOT BOUNDED TO ILLNESS, INJURY, UNTIMELY DEATH, OR DESTRUCTION TO PRPERTIES. THESE RISKS CAN EMERGE FROM PHYSICAL ACTIVITY, HIGH ELEVATION, TRAVEL, ROAD OR FLIGHT TRANSPORTATION ISSUES, OR NATURAL DISASTERS. ALTHOUGH SUMMIT EXCURSIONS PREPARE FOR EVEERY SITUATIONS TO GUARANTEE YOUR WELL-BEING AND SAFETY THROUGHOUT THE WHOLE JOURNEY, WE CANNOT COMPLETELY STOP THESE UNCERTAIN RISKS. YOU WILL ACKNOWLEDGE AND CONSENT THESE RISKS AND ADMIT THAT SUMMIT EXCURSIONS, PLUS ITS STAFFS, AGENTS, AND GUIDES, WILL NOT HELD RESPONSIBLE FOR ANY SORT OF INJURY, LOSS OF INDIVIDUAL PROPERTY, OR DEMISE.

Travel Insurance

All clients must acquire travel insurance to embark on any journey with us. You should make sure that your travel insurance covers all the required conditions that one can face while traveling, such as illness, injury, demise, medical expenditures, acute mountain sickness, repatriation costs, emergency evacuation, helicopter rescue, delay or cancellations of trips, natural calamities, theft, and many more.

You must be responsible for your travel insurance and be certain that it covers all these unforeseen circumstances. You must be careful while choosing the travel insurance company that provides quality and authentic services. Summit Excursions will not be responsible for any sort of expenditures for these kinds of unexpected events, including those that are not mentioned in clients’ insurance policies either.

Cancellations or domestic flight setbacks and additional costs for the Chopper rides

It is very usual for the cancellations or domestic flights to be set backs because of the bad climate and poor visibility. We will not be responsible for incurring any extra cost or troubles due to such situations.

However, we advise you to add one to two additional days in your scheduled itinerary if you’re embarking on a journey towards Everest or any other higher-altitude regions. If you do this, you will have a very rare probability of missing your international flight due to any reason.

Similarly, you may have to arrange a chartered helicopter to start your hike according to the planned itinerary if the flights to or from Lukla (Tenzing Hiliary Airport) are cancelled or delayed due to the bad climate. Choppers will provide rides for almost 5 passengers even in bad weather where airplanes cannot.

Summit Excursions will not bear any responsibility for the additional charges that are not included in the package. You should carry at least USD 1100 per person for the hopper, which is for two ways if this happens. Most importantly, this is the extra cost for taking rides on Chopper, not a replacement for the domestic flight. If you have comprehensive travel insurance, you could also recover these extra costs when you claim your insurance. Summit Excursions will assist you to manage all the required documents, as well as receipts and letters from our company and airlines, to aid your insurance claim.

Trip Changes and Pricing Adjustments Due to Unforeseen Circumstances

We can arrange an alternative trip of your paid equal value to your original booking if your tour is needed to be aborted or changed because of unforeseen circumstances or flight delays. We will also provide you the choice to reschedule your trip.

Similarly, if you used any of the services included in your initial booking, you must pay an additional fee for rescheduling, even if the new trip is of equal or greater value. Additionally, you also have to pay the difference between the new and old prices of the trip if the package costs more.

Most of our tour packages depend on dependent occupancy. A single room supplement will be added if you are staying alone and do not have anyone to share your lodging. You will be notified of this extra fee when you book our package.

Summit Excursions holds the right to modify the tour price at any period as per stated in our advertised brochures.

Wellness and Fitness

If you are planning your highly anticipated journey in the higher elevation areas, the most crucial factor is that you must be in best shape and have healthy mental well-being. Everyone who loves trekking in the high altitudes should once get a medical check-up with their GP or general practitioner to assess their body fully.

In case you have any kind of disability or severe health situation, you must inform us before booking the trek. Another important factor that should be considered is that the hiking hours indicated in our itineraries are standard hours, which can differ enormously relying upon each person’s training and physical fitness.

Child Policy

Individuals who are below 16 years old should be monitored and accompanied by his/her parents or legal guardian. We will not be responsible for the children’s activities and safety.

Privacy

Our company, “Summit Excursions,” values every single client’s privacy and is dedicated to protecting your personal information. We do not share or reveal any confidential details for any purposes or matters that you have given to us during your booking process.

Publicity

BY PARTAKING IN THE TOUR, YOU GIVE SUMMIT EXCURSIONS THE PERMANENT RIGHT TO UTILIZE, DUPLICATE, AND SHARE ANY PHOTOS, VIDEOS, OR OTHER PHOTOGRAPHS OF YOU CLICKED THROUGHOUT THE JOURNEY. THIS INCLUDES USING THEM FOR PUBLICITY, PROMOTION, MARKETING, AND OTHER BUISNESS OR NON-BUISNESS MOTIVES, IN ANY MEDIA NOW KNOWN OR CREATED IN THE FUTURE, WITHOUT REQUIRING YOUR PERMISSION OR PROVIDING ANY COMPENSATION.

Agreement to Terms

After you book your trip immediately with us, all these terms and conditions will be applicable effectively. You need to follow the terms and conditions of a third party or an agent along with ours if you have booked Summit Excursions services through them.

Code of Conduct for Participants

Summit Excursions has the full rights to end your participation in the tour right on the spot if your behavior is very inappropriate. This consists of causing disturbance to other travelers, ruining property, or involving in suspicious criminal acts. If this happens, you must leave the trip immediately, or we will kick you out if you oppose us.

And also, you will not get any refunds or compensations for untouched services, and you will be liable for any compensation or refunds of damages that are caused directly by your unacceptable acts. Our verdict on these kinds of issues will be irrevocable and final.

Governing Law and Jurisdiction

The head office of Summit Excursions is located in Kathmandu City, Nepal. All our terms and conditions mentioned are administered by Nepalese rules and regulations. If there is any contention and debate become apparent due to our terms and conditions, all these will be sorted out by the Patan High Court, the Supreme Court in Kathmandu, Nepal, and the Kathmandu District Court.

No legal actions will be taken place in other nations, and both parties consent that only the courts mentioned above will handle any disputes or claims connected to these terms and conditions.
